Privacy Policy
1. About this policy and the developer
This Privacy Policy explains how Sloth Motion Production Limited collects, uses, stores and protects personal information when you visit our website, contact our yard desk or arrange a film equipment pull. The site is operated by Sloth Motion Production Limited, a company registered in Hong Kong with its store and office at Rm C 5/F Goldfield Indl Bldg Blk 1, 144 Tai Lin Pai Rd, Kwai Chung, Hong Kong - 999077, Hong Kong (HK).
The website and its digital tools were developed and are maintained under the developer name Sloth Motion, the same small production team that operates the rig yard. Sloth Motion builds the pages, the enquiry form and the internal tools that the yard desk uses to record pull sheets and returns. This policy describes the practices of both the company and the developer team that supports it, because in practice they work from the same desk and share the same records.
We provide drape rigs, light stands, grip truck loadouts, cyclorama builds, dolly track packages and overnight store pulls for film, television and broadcast crews. That work is physical, but it produces a steady flow of correspondence, quotations, delivery notes and invoices. Those documents contain personal information, and this policy sets out how we handle it with care.
By using this website or sending an enquiry to our yard desk, you acknowledge that you have read this policy. If you do not agree with the practices described here, please do not submit personal information through the site and contact us by telephone instead so that we can answer your questions without collecting form data.
2. Scope of the policy
This policy covers personal information collected through the website at holdviesupply.lat, through email sent to service@holdviesupply.lat, through telephone calls to +19897887288, and through the paper and digital records that the yard keeps for quotations, pull sheets, delivery notes and returns.
It does not cover personal information held by third parties that operate their own websites and services. If you follow a link from our site to another site, the privacy practices of that site apply, and we encourage you to read the relevant policy before sharing information there.
The policy applies to visitors, production coordinators, crew members, drivers, suppliers and any other person who contacts the yard or collects equipment on behalf of a production. It applies regardless of where you are located, although some rights described below depend on the law of your home country or region.
3. Information we collect
We aim to collect only what the yard needs to quote a job, prepare a pull sheet, deliver equipment and keep accurate records. The categories below describe the personal information we may hold.
Information you give us directly
- Your name, job title and production role, so the desk knows who is speaking and who signs for stock.
- Contact details such as email address, telephone number and, where relevant, a production office address.
- The content of messages sent through the contact form, by email or by telephone, including dates, room dimensions, lens choices and shot notes.
- Billing and administrative details supplied by a production company for quotations and invoices, which may include a company name, a registered address and a contact person.
- Delivery and collection details, including site addresses, access instructions and the name of the person receiving the load.
Information created during a job
- Pull sheets, manifests and return sheets that record who collected stock, when it left and when it came back.
- Condition notes and photographs of equipment at collection and return, used to settle damage questions fairly.
- Correspondence about substitutions, delays or changes to a schedule.
Information collected automatically
- Technical data such as browser type, device type, screen size and the pages visited on our site, used to keep the site working on different screens.
- Server logs that record the time of a request and a network address, kept for security and troubleshooting.
- Aggregated statistics about how visitors move through the site, which do not identify any individual person.
4. How we collect information
Most of the personal information we hold comes directly from you. You type it into the contact form, write it in an email, say it on the telephone or hand over a business card at the yard desk.
Some information is created by our own staff as a job progresses. When a crew collects a drape rig, a yard hand records the name of the person signing and the time of the pull. When the stock returns, the same sheet is completed with condition notes. These records are made so that both the production and the yard can see what happened if a question arises later.
A small amount of technical information is collected automatically by the web server and by the small scripts that run on the site. We do not use hidden tracking pixels, and we do not build advertising profiles of visitors.
5. Why we use personal information
We use personal information for the following purposes:
- To answer enquiries about drape rigs, stands, grip loadouts, cyclorama builds, dolly packages and overnight pulls.
- To prepare quotations, pull sheets, manifests and invoices for a production.
- To coordinate collection, delivery and return of equipment, including confirming who is authorised to sign.
- To keep accurate stock records and to settle condition or damage questions fairly.
- To maintain the security of the website and prevent misuse of the enquiry form.
- To improve the clarity of our pages and the speed of the yard desk by understanding which information crews look for most.
- To meet accounting, tax and record keeping duties that apply to a company operating in Hong Kong.
- To send occasional service updates to contacts who have asked to receive them.
We do not sell personal information. We do not rent contact lists. We do not use your information to build profiles for advertising networks, and we do not share it with data brokers.
6. Legal bases for processing
Where the law requires a legal basis for processing, we rely on the following grounds.
Performance of a contract or steps before a contract
When you ask for a quotation, book a pull or arrange a delivery, we need your contact and production details to prepare and perform that arrangement. Most processing at the yard desk falls into this category.
Legitimate interests
We have a legitimate interest in running a safe and orderly yard, maintaining accurate stock records, securing our website and improving our service. When we rely on this ground, we weigh our interest against your rights and keep the processing limited to what the job requires.
Consent
Where we ask for consent, for example before adding you to a service update list, we will make the request clearly and you may withdraw consent at any time. Withdrawing consent does not affect processing carried out before the withdrawal.
Legal obligation
We may process and retain records to meet accounting, tax and other legal duties that apply to a company registered in Hong Kong.
7. Rig enquiries and pull sheets
An enquiry usually begins with a message describing a room, a date and a look. We keep that message, the reply and any later notes together in one thread so that the yard hand preparing the pull can see the full context. If a job repeats for the same production, we may keep a standing profile of preferred drape weights, stand counts and track lengths so the next pull is faster.
Pull sheets record the name of the person who signs for stock. This is a practical safety measure, because a signed sheet shows who took responsibility for a crate and when it returned. The sheet may also include a contact telephone number for the driver and the name of the receiving location.
Condition photographs are taken at collection and return when a job involves high value or easily damaged items. These photographs focus on the equipment, not on people, and are stored with the job record so that a damage question can be settled with evidence rather than memory.
10. International transfers
The yard is in Hong Kong, and our records are kept there. Some service providers operate servers or support teams in other regions, so a limited amount of information may be stored or accessed outside Hong Kong.
When information moves across a border, we take steps to protect it. These steps include choosing providers with recognised security certifications, putting written terms in place that require equivalent protection, and limiting the transfer to the information a service actually needs.
If you are located in a region with rules about transfers of personal information, such as the European Economic Area or the United Kingdom, we apply those rules to the extent they are relevant to your information. You may contact us for more detail about the safeguards used for a specific transfer.
11. How long we keep records
We keep personal information only for as long as the yard needs it. The periods below describe our usual practice, and a specific matter may require a longer or shorter period.
- Enquiries that do not lead to a job are usually deleted after twelve months.
- Quotations and pull sheets are kept for seven years to match accounting and tax duties.
- Manifests and return sheets with condition notes are kept for the same period as the related invoice.
- Service update contacts are kept until you ask to be removed.
- Server logs are kept for a short period and then deleted on a rolling basis.
When a record is no longer needed, we delete it or make it anonymous so that it can no longer be linked to a person. Where a record is part of an open dispute or an insurance claim, we keep it until the matter is closed.
12. Security of your information
We protect personal information with a combination of physical and technical measures. The yard is locked outside business hours, paper manifests are kept in a secure drawer and digital records are protected by access controls.
Access to the yard records is limited to the staff who need it to prepare a pull, answer an enquiry or settle a return. Accounts are protected by strong passwords, and access is removed when a person leaves the team.
Our website is served over an encrypted connection. The contact form does not store your message on the server; it prepares an email in your own mail application so the content travels through your mail provider and ours.
No system is perfect. If a security incident affects personal information, we will investigate promptly, take steps to reduce the impact and notify affected people and regulators where the law requires it.
13. Your privacy rights
Depending on where you live, you may have some or all of the rights described below. We will respond to a reasonable request within the time the law allows.
Access
You may ask for a copy of the personal information we hold about you. We will confirm what we hold and explain how it has been used.
Correction
You may ask us to correct information that is inaccurate or incomplete. Accurate contact details matter to the yard, so we welcome corrections at any time.
Deletion
You may ask us to delete information that we no longer need. We may keep records where the law requires it, for example an invoice that must be retained for tax purposes.
Restriction and objection
You may ask us to restrict certain processing, or to stop processing based on legitimate interests, where the law provides that right. We will explain any limits that apply to a particular request.
Portability
Where the law provides a right to data portability, you may ask for the information you provided in a structured and commonly used format.
Withdrawing consent
Where processing is based on consent, you may withdraw it at any time by writing to service@holdviesupply.lat or calling +19897887288.
To exercise a right, contact the yard desk with enough detail for us to identify the records concerned. We may ask for proof of identity before releasing personal information, and we will not charge a fee for a reasonable request.
14. Privacy for children
Our website and services are intended for production professionals and other adults who work with film, television and broadcast crews. We do not knowingly collect personal information from children.
If a production involves a young performer and a parent or guardian contacts the yard, we will collect only the details needed for access, safety and delivery, and we will deal with the guardian as the main contact. We do not use information about a child for marketing or for any purpose beyond the job.
If you believe that a child has sent personal information to the yard without a guardian, please contact the desk and we will delete the record promptly.
15. Marketing and communications
We send very few marketing messages. When we do, they are short notes about yard availability, new drape stock or a seasonal rig window, and they go only to contacts who have asked to receive them.
You can ask to be removed from a list at any time by using the unsubscribe option in a message or by writing to service@holdviesupply.lat. We will remove you promptly and keep a minimal suppression record so that you are not added again by mistake.
Messages about an active job are not marketing. A quotation, a collection reminder or a return note is part of the service and will still be sent while a job is in progress.
16. Third party links and tools
Our pages may link to mapping services, transport providers or equipment references that sit on other websites. We do not control those sites and are not responsible for their privacy practices. A link is provided for convenience, and following it takes you to a service with its own policy.
Our site does not embed third party videos, advertising frames or social plugins that would collect information about you without your knowledge. If that changes, this section will describe the tool and the choices available to you.
If you send us a message that contains a link, we may open that link to understand your enquiry. We do not follow links for any other purpose and we do not add contacts to a list because they included a link in a message.
17. Changes to this policy
We review this policy from time to time to reflect changes in the yard, the website or the law. When we make a material change, we will update the effective date at the top of the page and, where appropriate, describe the change in a short note.
A revised policy applies from the date it is published on this page. If a change affects an active job in a way that matters to you, we will mention it in our next message about that job rather than relying on the page alone.
We encourage you to return to this page when you start a new booking so that you are working from the current version. The previous version can be requested from the yard desk if you need it for your records.
18. How to contact us
Questions about this policy, a privacy request or a concern about how information has been handled can be sent to the yard desk. Please include enough detail for us to understand the matter and to locate the relevant records.
